Prior to Joining a Zoom Meeting


How do I download Zoom?

Click here to download Zoom and join a meeting. If you don’t download Zoom prior to joining the meeting, you will be asked to do so when you attempt to join it.

 

Where do I download the latest version of Zoom so that I am able to access all the updated features?

Click here and follow the instructions to download the latest version of Zoom.

 

Do I need a Zoom account to join the conference?

No, you do not need a Zoom account to join the conference.

 

Do I need a webcam to attend this conference?

You do not need a webcam to attend the conference. You just won’t be able to show a video of yourself. You will still be able to speak and hear the other participants. You’ll also be able to share your screen, if applicable.

 

Joining a Zoom Meeting


When I click on the Zoom link, a dialog box appears, and I am told to enter my email address and password.

Enter the email address associated with your Zoom account and then enter your Zoom account password. You will then be given access to the Zoom meeting room.

 

I clicked on the URL to join the meeting, but I can’t see it.

If you have a Zoom account, you should see the Zoom icon appear on your screen. For Mac users, this will be at the bottom of your screen among your other icons. When you click on the Zoom icon, a dialog box will appear with a message, e.g., “Waiting for host to start the meeting,” “Enter the meeting password,” or you will find that you are in the meeting.

How do I mute/unmute my microphone?

The mute/unmute icon is situated at the bottom left-hand corner of your Zoom screen next to the Start Video icon, as per the diagram below. Click on the icon to mute and unmute. If you see a red line through the icon, this means you are muted.

 

What is the best view to see the speakers?

This is personal preference. At the top right-hand corner of your Zoom screen are two available views: Speaker and Gallery. Click on Speaker to view the active speaker. Click on Gallery to view all the participants.

 

How do I hide participants who have their videos turned off?

As per the diagram below,
1. Click on the chevron next to the Start Video icon;
2. Select Video Settings;
3. Select Hide non-video participants.

 

How do I enter information into the Chat window?

Click the chat icon (1) at the bottom of your Zoom screen. A Chat window (2) will appear. At the bottom of that window, there is a space for you to type in information.

How do I join a breakout room?

At the bottom of your Zoom screen, select the Breakout Rooms (1) icon. Find the room you are interested in joining. Hover over the right of that room and click Join (2).

How do I share my screen?

Click Share Screen (1) at the bottom of your Zoom screen. A dialog box will appear with a number of boxes in it. These are available screens to share. The highlighted box in blue is your Desktop and is labeled Desktop 1. If you plan on sharing multiple screens from your desktop, click on this box. Note that everybody will see what is on your screen. If you only plan on sharing one screen and that window is open on your computer or device, it will be visible in another box. Select the box you want to share. Click Share located in the bottom right-hand corner of the dialog box.

Technical Issues


My video/camera isn’t working.

Ensure that another program on your device isn’t currently using the camera. If not, click here to troubleshoot video/camera issues.

 

My audio isn’t working.

If you’re using a Bluetooth headset or earbuds, these may not be connected to your computer or mobile device. Click on the chevron next to the mute/unmute button and then select the function to test your audio or go straight to Audio Settings. Click here to troubleshoot other audio issues.

 

I hear an echo or screeching sounds when I unmute my microphone.

If you hear an echo or screeching sounds, it could be due to your having Zoom open on more than one device or because your Bluetooth ear phones aren’t compatible with your system. Click here to troubleshoot echo issues.

 

My Internet connection keeps dropping.

First, try closing out of Zoom and then rejoining the meeting. Also, ensure you don’t have too many other tabs open that could interfere with connectivity.

If your internet fails completely, try the following:

  • connect using a WIFI hot-spot
  • Restart your computer and/or your router

How do I assign recording privileges?

If this has been given to you as an option, click Participants > Manage Participants. In the Participants menu, select the participant who you want to grant recording privileges. Hover over the right of that name and click More. Select the option Allow Record.

 

How do I hide participants who have their videos turned off?

Click on the chevron next to the Start Video (1) icon > Select Video Settings (2) > Select Hide non-video participants (3).

 

 

How do I share my screen?

Click Share Screen (1) at the bottom of your Zoom screen. A dialog box will appear with a number of available screens on your computer or other device displayed in it. The highlighted box in blue is your Desktop and is labeled Desktop 1. If you plan on sharing multiple screens from your desktop, click on this box. Note that everybody will see what is on your screen. If you only plan on sharing one screen and that window is open on your computer or device, it will be visible in another screen in the same dialog box. Select the screen you want to share. My co-presenters are unable to share their screens.

Click the chevron next to Share Screen and then Advanced Sharing Options…. Ensure under Who Can Share? that All Participants is selected.

 

I want to share multimedia content, e.g., YouTube video, PowerPoint or Prezi with embedded media.

Click Share Screen (1) at the bottom of your Zoom screen. Desktop 1 is automatically selected. You can click on that and navigate to your PowerPoint, Prezi or to the screen with the YouTube video. Alternatively, click on the screen that displays your PowerPoint, Prezi or video. Ensure you click on Share sound at the bottom of the Share Screen dialog box (2).

Once you have clicked on Share sound, click on the chevron to the right to select Stereo (High-fidelity) if high quality professional audio is preferred (3).

I can hear my embedded media but the participants still cannot hear it.

When you click on the embedded media in your PowerPoint, it should play if you have selected Share sound in the Share Screen dialog box. If it does not, the main reason may be that it has been blocked. Return to the PowerPoint, Prezi or YouTube video and check for a message that indicates as such and enable the content. You may also need to temporarily remove your ear phones from your computer or other device during media with sound. This will save you messing around with your audio settings at different times during your presentation.

 

How do I enter information into the Chat window?

Click the Chat (1) icon at the bottom of your Zoom screen. A Chat window will appear. At the bottom of that window, there is a space for you to type in information (2).

You can also add files from your computer or other device, such as documents. (3)

When you click on the three dots next to the File icon, the following information will appear (4) if you want to check the participants’ ability to communicate with other participants:

Important note about Chat:

When you enter information into the Chat window, if participants arrive to the meeting after you have done this, they will not be able to see your messages and uploads. You may need to enter the information into the Chat window again or verbally repeat it.

What happens if I’m presenting and I lose connection?

If you have been assigned as a co-host, that role will be automatically lost. However, the meeting will not end. Calmly attempt to log back in. You should reappear directly in the breakout room you were in. If you do end up in the main session, navigate to your breakout room.
